Song Metadata Registration Suite

The Suite is a secure tool that helps songwriters, artists, and rights holders organize their song metadata catalog in one location and use that information to speed up registrations across multiple music industry databases. Instead of retyping the same song details again and again, store metadata once, review it, update when needed — then use the built-in Helpers to push it into platform-specific workflows faster and with fewer mistakes.

About the Helpers

The Helpers are designed to speed up preparation and data transfer. They do not replace your responsibility to review and confirm all metadata before submitting to any of the registration sites.

The Suite prepares and moves information for you. It does NOT click any buttons, activate dropdowns, save drafts, or recall submissions. Many of the destination sites have subpages which the helper may not be able to reach (even when it reaches others). In those cases, you must go back to the song edit column, then copy and paste into the form yourself.

You will need an MP3 of the song you're registering for some databases, and the associated release artwork available for upload — both on the same device you're using to do your registrations. The Suite is designed to work on portable and desktop devices, but may be restricted by firewalls, antivirus, and antimalware protocols. The Suite does not interact invasively with websites and does not disrupt their base code or function.

How to get started

  1. Sign in using your email link.
  2. Add a song manually or upload a CSV file (must be in the format of the Song Metadata Organizer 2026 Database).
  3. Select the saved song (or enter a new song) you want to work on submitting.
  4. Review the song details entered in the Song Editor column and edit as desired.
  5. Use a Helper button to send that song's metadata into the relevant database and follow the instructions on their site.
  6. You must review the information entered into the destination database for accuracy before final submission.
  7. Download and save a backup of your catalog song metadata as a CSV file on a regular basis.

Mediabase Helper

  1. Make sure the song is saved in the Suite database first.
  2. Select the song from the left column.
  3. Click the Send To Mediabase button.
  4. The Helper opens the Mediabase page and fills the relevant fields.
  5. Review all information carefully. Click "Yes" to the "Remember Me" requestor in the top section.
  6. Complete any required fields not supplied by the Suite. Note that some fields are particular (e.g., ISRC requires letters to be ALL CAPS).
  7. Choose the correct MP3 file of the song. It must be encoded at 128 Kbps or it will fail to upload.
  8. Click submit to send everything to Mediabase after review.

Luminate Helper

  1. Make sure the song is saved in the Suite database first.
  2. Select the song from the left column.
  3. Click the Send To Luminate button.
  4. The Helper opens the Luminate ISRC registration page.
  5. This helper requires you to click GO, then fills the relevant fields.
  6. Review all information carefully. Click "Next" to go to the next page.
  7. Repeat the process for each requestor on each page.
  8. Complete any required fields not supplied by the Suite (drop-down dates, etc.).
  9. Click submit to send everything to Luminate after review.

SoundExchange Helper

  1. Make sure the song info is saved in the Suite database first.
  2. Select the song from the left column.
  3. Click the Send To SoundExchange button.
  4. The Helper opens the SoundExchange Login page. If you don't have an account, sign up for one, then proceed to Log In.
  5. First step is to search for your song: click My Catalog → Search & Claim.
  6. If your song is in the database, you may add it to your catalog. If not, click My Catalog → Submit Recordings.
  7. Once on the Submissions page, click Add Recording, then scroll to the bottom and click Add Release.
  8. This helper requires you to click GO, then fills the relevant fields.
  9. Review for any remaining "red" flags, then click submit.

SoundMouse Helper

  1. Make sure the song info is saved in the Suite database first.
  2. Select the song from the left column.
  3. Click the Send To SoundMouse button.
  4. The Helper opens the SoundMouse Login page. If you don't have an account, sign up for one, then proceed to Log In.
  5. First step is to create a Library, then Album for the song, then the track you're working on itself.
  6. This helper requires you to click GO repeatedly to fill the relevant fields on each screen. Some items may not fill but most key items should fill for you. Switch between this screen and the Suite to copy and paste items directly when the helper doesn't fill (if needed).
  7. Review for accuracy, then click submit. SoundMouse takes time for entries to show up (sometimes 24 hours).
  8. You don't necessarily have to log out between songs, but it's good practice to close each site between songs.

The MLC Helper

  1. Make sure the song info is saved in the Suite database first.
  2. Select the song from the left column.
  3. Click the Send To The MLC button.
  4. The Helper opens The MLC Login page. If you don't have an account, sign up for one, then proceed to Log In.
  5. First step is to search for your song: click Claiming Tool and type the name of the track (no helper here).
  6. If your song is in the database, you may add it to your catalog. If not, click Individual Registration Tool.
  7. This helper requires you to click GO as you follow the prompts to fill the relevant fields.
  8. Review for any errors, then click submit.
